How to manage our time

Time management is a skill which can be learned by anybody.
Once we have control over time management, it gives us happiness and self-confidence.
Intelligence is not related to grade of college, or IQ level, “we are intelligent if we act intelligently”.
What is intelligent act: Any of your work at a time moves you towards achieving your goal can be said as intelligent act.
Allow our subconscious mind to work:
It is very important that make our list of tomorrows task before you sleep. Benefits of this is that
our subconscious mind will work on tasks during our sleep time.
We should make list of tasks ordered by priority and make a list of our everyday tasks by
writing down tasks on paper, discuss with our friend, partner, coach.
Before starting work:
1. Write a list of works on PAPER.
2. Organize the list based on the priority.
When we organize work, we should understand the different type of works
- Urgent Work: It is forced by some external pressure. ex: emergency work, work assigned by manager, we have to do urgent work immediately otherwise it will have consequences.
- Important Work: planning, organizing, researching our customer, learning and study comes under this category. The result of our coming works depends on it we should give time to this type of work.
- Urgent but not important: Take an example where you want to work, and your co-worker wants to go for walk. We should know how to deal with these types of urgent but not important work.
- Not urgent and not important: Watching Movie, surfing social media are not urgent and not important. We should avoid it. When a work is important try to finish it, otherwise it will become urgent in near future.
3. Apply 80/20 rule (or 90/10 rule) over the prioritized work list:
80/20 rule says when that 20% of top priority work will have more significance and value over combined 80% of remaining work.
We should focus on 20% of the priority work and procrastinate 80% of less priority work sometimes called “Creative procrastination”.
4. Apply ABCDE rule:

- Mark work as A, if very important, it has serious consequences for completion or noncompletion. If more than one work then uses A1, A2 etc.
- Mark work as B if it has mild consequences for completion or noncompletion.
- Mark work as C if it nice to do and it has no consequences for completion or noncompletion.
- Mark work as D if it possible to delegate to other. Remember you want to focus on A and B type.
- Mark work as E if we can eliminate altogether. Old activities that is no longer important.
A work should always move us towards our goal at a given point in time.
5. Concentrate single-mindedly on top priority work until 100% complete
- if we feel tempted to procrastinate or take break. Mental repeat the term- “Back to work! Back to work!”
- Create chunks of uninterrupted time example Chunk of sixty minutes. Uninterrupted chunk of time is essential for important task. A work which has larger consequences requires larger chunk of time.
- Understand and focus on role and responsibilities.
- Work such that we can become better and better in some works, learn to delegate, outsource and eliminate work which less significance.
